Art Library Assistant

Art Library Assistant

The Lamar Dodd School of Art at the University of Georgia invites applications for the full time position of Art Library Assistant. 

The Art Library Assistant is responsible for performing public service duties and a variety of clerical routines to maintain the day-to-day operations of the Art Library of the Lamar Dodd School of Art. Duties include opening and closing the facility, overseeing the public service desk, processing reserve materials, and maintaining accurate records. The Art Library Assistant also assists in the supervision and training of 4-6 student workers and maintains the appearance of the Art Library. This position reports to the Dodd Librarian and is part of the UGA Libraries’ Collection Development Department.

Activities and decisions are varied in nature, requiring independent action and judgment in solving common problems. Unusual cases or questionable matters are resolved with this position’s supervisor or other appropriate positions. Some evening and weekend work may be required.

Minimum Qualifications:

  • One year of college education AND one year library or related clerical/customer service experience; OR two years library or related clerical/customer service experience; OR any equivalent combination of experience, training and/or education from which comparable knowledge, skills and abilities have been achieved.

Preferred Qualifications:

  • Understanding of at least one modern European language preferred.
  • An academic background and interest in the visual arts preferred.

Knowledge, Skills, Abilities and/or Competencies:

  • Knowledge of library techniques and procedures; 
  • Proven ability to deal tactfully and courteously with a diverse body of student workers and patrons; 
  • Knowledge of basic computer technology and its applications to library operations;
  • Ability to perform routine tasks accurately with close attention to detail; 
  • Ability to interact successfully and communicate in a clear, knowledgeable, and personable manner in both a team environment and on an individual basis;
  • Ability to establish and maintain effective working relationships;
  • Ability to be flexible and to accept and manage change.

Duties/Responsibilities:

Maintains the day-to-day operations of the Art Library, which includes opening and closing the facility; training and scheduling student assistants, overseeing the receipt, processing, and shelving of materials; handling routine problems, and maintaining statistics on patron deliveries and reference questions.

Oversees the public service desk during business hours by: 

  • Answering patron questions about policies and procedures and assisting them in locating materials; 
  • Assisting in the operation of the UGA Libraries’ resource sharing programs including GIL Express and InterlibraryLoan by searching, retrieving and processing materials requested by UGA patrons and USG patrons, and instructing UGA patrons in the use of resource sharing programs.
  • Assisting patrons with specialized access services by circulating materials, providing information on the status of items in the collection, and searching for items.
  • Assisting patrons in the use of all sources and equipment and by providing orientation tours.

Supports university instruction by responding to requests to gather and maintain a collection of library reserve materials which may also include professors’ personal materials.

Creates reserve lists using GIL and eLC by corresponding with instructors, retrieving requested materials, creating temporary bibliographic records for personal items and digitizing portions of materials. 
Maintains course reserve lists using GIL and eLC by reconciling new lists, removing materials at the end of term, returning removed materials to instructors and/or permanent locations, and performing inventory of the reserves shelves.

Maintains Art History Image Database by overseeing request workflows and progress, uploading completed jobs into database and monitoring ongoing metadata cleanup efforts.

Maintains flexibility and contributes to the team effort by assuming similar duties and responsibilities as assigned.

Represents the Libraries and develops and maintains skills through active participation in work related activities including campus and library workshops, cross-training or other continuing education activities.

Participates in library-wide and Dodd communications by reading, responding to, and initiating information transmitted via GRAPEVINE (the Libraries’ listserv) and other communication tools, and appropriate library-wide or departmental meetings and asking questions, seeking clarification, or initiating discussion on library issues. Also participates in Dodd staff meetings as deemed necessary.
